Popular Playbooks: Where do I start?

Not sure where to start with Playbooks? Here's what's actually working for other OuterSignal customers, based on what's live across our accounts today.

Start here: the foundation playbook

Klaviyo Stream (All Customers, Live Sync) — the single most common Playbook we see, live on the majority of accounts that use Klaviyo. It pushes enriched OuterSignal fields (Age, Gender, Persona, Segment Name) to every customer profile so the data is available for segmentation and flows going forward. Set this up once on your All Customers segment and you never have to think about it again.

A common downstream use: once persona and demographic data lands in Klaviyo, accounts export those segments (e.g. a specific persona or age band) as a source list for Meta lookalike audiences — letting you find more customers who look like your best existing ones for paid acquisition.

Not on Klaviyo? We also integrate with Omnisend, Attentive, Postscript, and HubSpot — the same sync playbook pattern applies for the custom properties you choose, just point the action at whichever platform you use.

Shopify-first store? The equivalent is a Shopify Tag or Metafield playbook on All Customers — see Playbook Actions Reference for setup.

The next layer: segment-specific playbooks

Once the foundation is in place, most accounts add one or more of these:

Playbook

What it does

Typical action

VIP alerts

Notify your team the moment a VIP-tier customer places an order

Slack Message (On Enter)

VIP tag sync

Tag VIP customers in Shopify or Klaviyo so the label persists across future orders/flows

Shopify Tag or Klaviyo Tag

Influencer segment

Flag customers who match the Influencer persona — often used to trigger an ambassador or gifting flow

Klaviyo Tag

Follower-count tiers

Segment by social reach (e.g. 10K+, 100K+, 1M+ followers) for tiered gifting or outreach

Klaviyo Tag or Shopify Tag

Signal-based segments

Narrower flags like "immediate family of a public figure" or "Wikipedia-notable" — used by accounts doing high-touch VIP outreach

Slack Message or Shopify Note

Support team context: the Gorgias biography sync

One of the most-loved playbooks isn't about marketing at all — it's for your support team. OuterSignal connects directly to Gorgias, so persona and signal data — including the customer's biography — can show up right on the ticket. When a ticket comes in, your CX team sees exactly who they're talking to without leaving the ticket or digging through OuterSignal separately.

Once you've connected your Gorgias account (Settings → Integrations → Gorgias), there are three Gorgias actions to choose from:

  • Gorgias Customer — writes a value (e.g. Biography) to a custom field on the customer's profile, visible any time an agent opens that customer

  • Gorgias Note — adds an internal, agent-only note to the customer's record

  • Gorgias Ticket — opens an internal follow-up ticket for your team to work, without the customer having reached out

Most accounts start with Gorgias Customer mapping Biography to a custom field — that's the direct equivalent of "give my CX team context on who they're talking to." See the Gorgias Integration guide for full setup.

Less common, but worth knowing about

A smaller set of accounts also build:

  • Occupation/status segments — executives, medical professionals, athletes, high-net-worth customers

  • Order-count/loyalty segments — customers with 10+ orders, repeat purchasers

  • Age or gender segments — for age-banded or gendered marketing campaigns

A simple path to follow

  1. Week 1: Klaviyo (or Shopify) sync on All Customers — get enrichment data flowing everywhere

  2. Week 2–3: VIP alert + VIP tag sync — start catching your highest-value customers in real time

  3. Month 2+: Influencer and follower-tier playbooks — layer in segments as you find use cases (gifting, ambassador programs, tiered outreach)

Most accounts don't build all of these — pick the ones that map to something you'd actually act on. If you're not sure which action fits a segment you're building, check [Playbook Actions Reference — Every Available Action Explained] for a full breakdown.
