The Playbooks page
Go to Playbooks in the left sidebar. This is where all your active and inactive Playbooks live. You can filter by:
Trigger type — On Enter or Live Sync
Segment — see all Playbooks running on a specific segment
Action type — filter by Slack, Klaviyo, Shopify, etc.
Each Playbook shows its name, the segment it's running on, the action it takes, and its current status (Active or Inactive).
Two ways to create a Playbook
Option 1 — From the Playbooks page
Click Create Playbook in the top right of the Playbooks page.
Option 2 — From the Signal Feed
Build a filter in your Signal Feed, then click Save as Segment → from there you can immediately create a Playbook on that segment without leaving the feed. This is the fastest path when you've just found a group of customers you want to act on.
Step 1 — Name your Playbook and select a segment
Give your Playbook a descriptive name — something that makes it clear what it does and who it targets. Examples from the video: Gender: Male Playbook, Influencer Playbook, All Customers Playbook.
Then select your segment:
All Customers — runs on every customer OuterSignal processes. Best for your Klaviyo stream Playbook that pushes enriched data to all profiles
Custom segment — runs only on customers matching your saved segment. Best for targeted actions like Slack alerts for VIPs or Klaviyo tags for a specific persona
Click Next to move to actions.
Step 2 — Add an action
Click Add an Action. A panel appears showing all available integrations. Choose the action that matches what you want to do:
Slack — Slack Message
Sends an alert to a Slack channel when a customer enters your segment. Best for VIP notifications where your team wants to act personally.
Trigger — choose when the action fires:
On Enter — fires once when a customer first matches the segment
Live Sync — fires on every matching order while the customer is in the segment
Channel — select the Slack channel to send alerts to (e.g. #alerts)
Message template — Example
Click Add Action to complete setup
Klaviyo — Klaviyo Stream
Pushes enriched OuterSignal data fields directly to Klaviyo customer profiles. Use this for your All Customers Playbook.
Select the data fields you want to sync: Age, Gender, Birth Date, Birth Year, Persona, Segment Name
At least one field must be selected — we recommend selecting all
Click Add Action.
Klaviyo — Klaviyo Tag
Adds a tag to a customer's Klaviyo profile when they enter your segment. Use this for specific segments where you want to trigger a Klaviyo flow or build a Klaviyo segment from a tag.
Trigger — On Enter or Live Sync
Tag Name — enter your tag (letters, numbers, hyphens, underscores, max 50 characters). Example: os-male, os-influencer, vip-customer
The tag appears on the customer's Klaviyo profile immediately when they enter the segment. On its own, the tag doesn't do anything in Klaviyo yet — you'll need to create a segment in Klaviyo based on that tag before you can use it in a flow or campaign. See Building Klaviyo Segments with OuterSignal Data for how to do that.
Click Add Action.
Shopify — Shopify Tag / Metafield / Note
Adds a tag, writes a metafield, or adds a note to a Shopify customer or order record.

Email — Email Notification
Sends an email notification when a customer enters your segment. Useful for internal team alerts.
Webhook
Sends a custom HTTP request to any endpoint when a customer enters your segment. For connecting OuterSignal to tools not natively integrated.
Step 3 — Review and create
After configuring your action, click Next to reach the review screen. Here you'll see a summary of:
The segment your Playbook is running on and how many customers currently match
The action it will take
A live preview of the Playbook flow
Click Review & Create to activate your Playbook. It will begin running immediately on new customers entering the segment going forward.
Managing your Playbooks
From the Playbooks list you can:
Activate / Deactivate — pause a Playbook without deleting it
Edit — update the segment or action
Duplicate — copy a Playbook as a starting point for a similar one
Delete — permanently remove a Playbook
A note on stacking actions
Each Playbook supports one action. If you want to take multiple actions on the same segment — for example, send a Slack alert AND add a Klaviyo tag — create two separate Playbooks on the same segment. Both will fire when a customer enters.
